New, and free for existing accounts

Carrier hub and Incoming carriers

One section for your own carrier compliance, one for the carriers who deliver to your site. Both are free for existing accounts.

What the two sections do

For your business

Carrier hub

Your permit or exemption, competence certificates, drivers and their numbers, vehicles and documents in one place, with the dates that matter counted down.

For your site

Incoming carriers

Every carrier that already delivers to you, with their registration checked against the four UK registers and a count of the notes they have brought in.

Why we built it

Two things are changing, and both put more of the compliance work on the carrier: England's registration becomes a permit, and digital waste tracking reaches carriers. LoadLog already handles the receiving side. This is the other half of the journey, in the same account. If you are weighing up systems, compare carrier software on the 2027 duties.

England's registration becomes a permit22 July 2027

From 22 July 2027, carrier registrations in England are replaced by a permit or a registered exemption. Most registrations convert on the day after their own expiry date, so the change reaches each business at a different time, from July 2027 through to about 2030. Lower-tier registrations often move to a registered exemption rather than a permit, and generally have longer to comply.

Every driver needs a number22 July 2027

From 22 July 2027, a driver carrying waste must carry your permit or exemption number and a unique driver number that you allocate and keep a record of. Exempt operators have the same duty. The hub is that record: it allocates the numbers, keeps them when a driver leaves, and exports the list for the cab.

Record keeping and inspectionsOn inspection

A roadside stop or an agency visit means producing the permit, the driver list with numbers, competence certificates and vehicle records. The inspection pack puts all of it in one PDF, and every export is written to the audit log.

October 2027: digital waste tracking reaches carriersPhase 2

Carriers, brokers and dealers join the service your site already uses, and will need to record and submit movements digitally. That is Phase 2 in LoadLog, and the carrier side of your account is where it will happen.

Switch it on

An administrator can do this in a couple of minutes. Nothing about your site, your plan or your existing records changes.

  1. 1
    Open Settings, then Organisation.
  2. 2
Under What do you want to manage?, choose Waste site and carrier, then click Add the carrier side.
  3. 3
In the Carrier hub card, pick your carrier type and click Set up the carrier hub. Your business details carry over.
  4. 4
Open Permit or exemption, then Add a registration. The register fills in the nation, type, tier and dates from your number.
Choose the combined role. Nothing changes until you confirm.
Then the carrier type. Business details are already filled in.

Inside the Carrier hub

Seven pages, all in the main menu. Open one to see what it keeps.

OverviewStart here

What is due, what is missing, and the next date that matters, in one list. It also carries the inspection pack download.

Permit or exemptionDates and documents

The registration number and status, issue and expiry dates, the conversion date and the date to apply by. Add a registration and LoadLog searches the four public registers by number, business name or company number, then fills in the nation, type, tier and dates from the match. Documents attach to the record, and a panel explains how to display your permit. The registers refresh every night, and the record shows when we last checked.

CompetenceWho holds what

Who holds a technical competence certificate, through which scheme, and when it runs out.

DriversNumbers and documents

Every driver and their number. LoadLog allocates the next one, or you can enter a number you already use. A number is never reused, even after a driver leaves. Add a CPC card, tachograph card or ADR certificate with its expiry, and LoadLog flags it 30 days before it lapses.

VehiclesMOT and insurance

Plate, make and model, MOT and insurance dates. Type the plate, press Look up, and LoadLog reads DVSA's MOT history service: make, model, first registration and MOT expiry, with the test history, mileage and defects kept on the vehicle's record. Insurance is entered by hand, because there is no public register for it.

All documentsOne list

Every file you have uploaded, in one list, each linked to the record it belongs to.

Inspection packOne PDF

The permit, the drivers and their numbers, competence holders and vehicles, ready for a roadside stop or an audit. Administrators can export it, and every export is recorded.

Reminders

The hub is only useful if the dates on it stay current. LoadLog emails the administrators on your account before anything lapses, at 07:00 UK time.

  • Registration expiry and competence certificate expiry, 30 days before.
  • Conversion and application dates: four months and three months before your apply-by date, and 60 days before a registration converts.
  • Driver documents and vehicle insurance, 30 days before.

To turn them on, or off: Settings, then Email Preferences, then Carrier reminders. An administrator can pause all of them with one switch. Everything except driver documents and vehicle insurance starts switched on, so tick those two if you want them.

Incoming carriers

The site side. It lists the carriers that already work with you, built from the carrier names on your notes, your saved carriers and your recent lookups. One site or all of them.

  • Each row shows the registration status from the public register and how many notes that carrier has brought in.
  • Select a carrier for the record we hold: business name, nation, tier, expiry, and when the register was last checked.
  • Needs attention collects carriers with no number on file, an expired one, or one that is not on the register.
Connections are not open yet

Connecting a carrier does not do anything useful yet, so invitations are closed. As Phase 2 takes shape we will look at carriers sharing fleet details, carriers sending WTNs into your inbox, and passing a note on when the load moves again. None of it is agreed, dated or in build. Your carrier list, registration checks and saved emails work as they do today.

Free now, and free to keep

The Carrier hub and Incoming carriers are free for existing accounts, and they will stay free for those accounts. There is no card, no trial clock, and nothing to cancel.

Phase 2, planned for October 2027, is when carriers, brokers and dealers are expected to start recording and submitting movements digitally. Carrier subscriptions will be built around submitting those carrier WTNs. We will announce the plans nearer the time, with a discount for the businesses already using the hub. Neither section on this page is part of that.

Dates, nations and the small print

England is the only nation where carrier registration becomes a permit. Wales, Scotland and Northern Ireland keep their own registration systems, and the hub records those in their own terms.

Rules on displaying your permit on vehicles are still to be set in the Environment Agency's standard rules. The display panel in the hub is a checklist to get ready with, not a statement of current law.

The October 2027 date is Defra's published plan. The regulations for this phase have not been laid yet, so treat it as the date to prepare for rather than a fixed deadline.

This guide explains how LoadLog works. It is not legal advice. The conversion and apply-by dates in the app are our reading of the published guidance. Check your own position with the Environment Agency, NRW, SEPA or NIEA before you act on it.
